1.3. By participating in the Competition, you agree to the terms of this Policy. If you do not agree, please refrain from providing data and participating in the Competition

2.1. Personal Data: • Full name • Email address • Country of residence • Team information (names and roles of up to 5 members) • Payment information (e.g., credit card details) necessary to process the $100 registration fee

2.2. Project Data: • Project title • Project description (up to 500 words) • PDF presentation (up to 10 slides, max 10 MB) • Links to demo, video, or prototype (optional) • Technical and commercial details provided in the application

2.3. Technical Data: • IP address • Browser and device type • Cookies data for analytics and website optimization

3.1. Personal and project data are collected for the following purposes: • Registration and application processing for the Competition • Processing the $100 registration fee • Sending notifications about application status, results, and organizational details • Event logistics (e.g., badge issuance, event access) • Promotion of the Competition, including project mentions in catalogs or media (with participant consent) • Website traffic analysis and user experience improvement

4.1. Personal data is processed solely for the purposes outlined in Section 3 and is not shared with third parties except as specified in Section 5.

4.2. Project data may be provided to the expert panel for initial evaluation.

4.3. With participants’ consent, their projects and names may be used in public materials (e.g., event catalog, website, social media).

4.4. Technical data (cookies, IP addresses) is used for analytics (e.g., via Google Analytics) and website functionality.

5.1. Data may be shared with the following third parties: • Payment systems (e.g., Stripe, PayPal) for processing the registration fee • Email service providers (e.g., Mailgun, SendGrid) for communication purposes • Expert panel members and event organizers for application evaluation

5.2. All third parties are required to maintain data confidentiality and use it solely for the stated purposes.

5.3. Data is not sold or disclosed for third-party marketing purposes.

6.1. Personal and project data will be retained for three years after the Competition concludes (until November 22, 2028) for auditing, analysis, and potential follow-up events.

6.2. Payment data is stored in encrypted form per payment system requirements and deleted after transaction processing unless otherwise required by law.

6.3. Participants may request deletion of their data by emailing info@aifusionexpo.org.

7.1. The Organizer implements the following measures for data protection: • SSL encryption to safeguard data on the website • Storage on secure servers (e.g., AWS, Google Cloud) • Access control measures (passwords, two-factor authentication for admin panel) • Regular security system updates

7.2. In case of a data breach, the Organizer will notify participants within 72 hours and take remedial action.

8.1. Participants have the right to: • Request access to their personal data • Request correction of inaccurate data • Request deletion of their data (unless needed for participation or legal compliance) • Withdraw consent to data processing (which may result in disqualification) • File a complaint with a supervisory authority (e.g., a data protection authority in the EU)

8.2. To exercise these rights, submit a request to info@aifusionexpo.org. A response will be provided within 30 days.

9.1. The website uses cookies to: • Analyze traffic (e.g., Google Analytics) • Enable website functionality (e.g., saving preferences) • Enhance user experience

9.2. Participants may disable cookies in their browser settings, which may limit website functionality.

9.3. Upon first visit, users will receive a cookies notice with an option to accept or decline (excluding essential cookies).

10.1. Participant data may be transferred to and stored in the United States or other countries where the Organizer or its partners operate servers.

10.2. For EU participants, the Organizer ensures GDPR compliance, including the use of Standard Contractual Clauses (SCCs) for international data transfers.

11.1. Any disputes related to this Policy or data processing shall be governed by the laws of the United States, including the State of Florida.

11.2. All disputes shall be resolved in the International Arbitration Court located in Miami, Florida, under the rules of the American Arbitration Association (AAA).

11.3. Arbitration proceedings shall be conducted in English, and the decision shall be final and binding.

12.1. The Organizer may update this Policy in response to changes in legislation or Competition terms.

12.2. Participants will be notified of any changes via the website (aifusionexpo.com) or email at least 14 days prior to implementation.

12.3. Continued participation after changes indicates acceptance of the updated Policy.
